We at AI HOUSE, an organization incorporated and existing under the laws of Ukraine, registration number 44497997 (“AI HOUSE”, “we”, “us”) respect your privacy and want you to understand how we collect, use, and share your personal data. This Privacy Policy covers our data collection practices and describes your rights regarding your personal data.

Unless we link to a different policy or state otherwise, this Privacy Policy applies when you visit or use our website or use our related services, as well as when you attend the Events (the “Services”).

By using the Services, you agree to the terms of this Privacy Policy. You should not use the Services if you don’t agree with this Privacy Policy.

Any translation from the Ukrainian version is provided for your convenience only. If there is any difference in meaning or interpretation between the Ukrainian version of this Privacy Policy and any translation, the Ukrainian version will prevail. The original Ukrainian text shall be the sole legally binding version.

This Privacy Policy is developed in accordance with the Law of Ukraine “On the Protection of Personal Data” No. 2297-VI, dated 1 June 2010, and the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (the “GDPR”).

 

1. What data we collect

We collect certain data from you directly (for instance, information that you enter yourself), data about your interaction with the website, and data from third-party platforms. We also collect some data automatically, like information about your device and what parts of our Services you interact with or spend time using. 

  • 1.1. Personal data you provide to us

    You provide your personal data to us when you apply for participation in the Event and/or attend the Event. Such data include:

    (i) your contact details such as surname, name, and email address;

    (ii) data about your Telegram ID and LinkedIn account name;

    (iii) data about your experience in the artificial intelligence and machine learning field, as well as other areas related to our Events and about your projects and startups;

    (iv) information about your professional interests;

    (v)information you provide when writing cover letters;

    (vi) documents confirming bank transactions;

    (vii) information you provide when you contact us for support, to query about the Events, or to report a problem or concern. We collect and store your contact information, messages, and other data about you, including your name, email address, messages, location, refund transaction identifiers, and any other data that you provide or that we collect through automated means (which we cover below); and

    (viii) information and content that you share publicly by posting reviews of the Services, asking or answering questions, and sending messages to participants and lecturers in shared public communication channels, such as Telegram.

  • 1.2. Data we collect through automated means

    When you visit our website, you disclose certain information, such as your IP address and the time of your visit. Our website, like many other websites, records basic information about visits to our website. In particular, we may collect the following information:

    (i) system data;
    Technical data about your computer or device, like your IP address, device type, operating system type and version, unique device identifiers, browser, browser language, domain and other systems data, and platform types.

    (ii) usage data;
    Usage statistics about your interactions with the website, including content accessed, time spent on pages, pages visited, features used, click data, date and time, referrer, and other data regarding your use of the website.

    (iii) approximate geographic data.
    An approximate geographic location, including information like country, city, and geographic coordinates calculated based on your IP address.

    The data listed above is collected through the use of server log files and tracking technologies, as detailed below in Section 3.1 “Cookies and Data Collection Tools”.

    The categories of data listed in Sections 1.1 and 1.2 are hereinafter collectively referred to as “Personal Data”.

2. Sensitive personal data

We do not collect any special categories of personal data as defined by Article 7 of the Law of Ukraine “On the Protection of Personal Data” No. 2297-VI, dated 1 June 2010 and Article 9 of the GDPR or other sensitive personal data (e.g. information related to racial or ethnic origin, political opinions, religion or other beliefs, health, biometrics or genetic characteristics, criminal background or trade union membership).

We ask that you not send us, and you not disclose, any sensitive personal data through the Services or otherwise to us.

If you send or disclose any sensitive personal data to us when you use the Services, you must consent to our processing and use of such sensitive personal data in accordance with this Privacy Policy. If you do not consent to our processing and use of such sensitive personal data, you must not submit such sensitive personal data through the Services.

 

3. How we get data about you

We use tools like cookies, web beacons, and similar tracking technologies to gather the data listed above. Some of these tools offer you the ability to opt out of data collection.

  • 3.1. Cookies and data collection tools

    We use cookies, which are small text files stored by your browser, to collect, store, and share data about your activities across the Services. They allow us to remember things about your visits to the website (for instance, your preferred language) and to make the website easier to use.   • 3.2. What data collection tools we use

    We use the following types of Data Collection Tools for the purposes described:

    (i) strictly necessary;
    These Data Collection Tools enable you to access the website, provide basic functionality (like accessing content) and secure the website. These are required for the website to work properly, so if you disable them, parts of the website will break or be unavailable.

    (ii) functional;
    These Data Collection Tools remember data about your browser and your preferences, provide additional website functionality, customize content to be more relevant to you, and remember settings affecting the appearance and behaviour of the Services (like your preferred language or volume level for video playback).

    (iii) performance;
    These Data Collection Tools help measure and improve the Services by providing usage and performance data, visit counts, traffic sources, or where the website was downloaded from.

    (iv) advertising.
    These Data Collection Tools are used to deliver relevant ads (on our website and/or other websites) based on things we know about you and things that the ad service providers know about you based on their tracking data. The ads can be based on your recent activity or activity over time and across other websites and services.

4. What we use your data for

The Personal Data we collect is used for the following purposes:

(i) to provide you access to the Events;

We process your Personal Data so that you can participate in the Events and use the Services without any technical issues and have the best experience.

(ii) to provide you with customer support;

We process your Personal Data to promptly address all your concerns regarding the use of the Services and provide additional information about the Events, etc.

(iii) to communicate with you regarding your use of the Services;

We process your Personal Data to inform you of the terms of access to the Services, date of the Events, etc. We also communicate with you via communication channels to provide you with technical and other support.

(iv) for marketing purposes;

We process your Personal Data for our marketing campaigns. We may add your email address to our marketing list, provided we receive your consent or otherwise establish the legal basis for sending you marketing communications. As a result, you will receive information about our Events. If you do not want to receive marketing emails from us, you can unsubscribe by following the instructions in the footer of the marketing emails or by contacting us at legal@roosh.tech.

(v) to comply with legal obligations;

We may process, use, or share your Personal Data due to legal requirements, in particular, if a law enforcement agency requests your data by available legal means.

(vi) to research and analyse your use of the Services.

We process your Personal Data to better understand our business, analyse our operations, innovate, maintain, improve, plan, design, and develop the Services.

 

5. Legal bases for collecting your Personal Data (applies only to EEA-based users)

We process your personal data, in particular, under the following legal bases: 

(i) your consent. We rely on this legal basis to send you marketing communications. 

(ii) for our legitimate interests. We rely on legitimate interests:

(a) to communicate with you regarding your use of our Services;

(b) to send you marketing communications;
The legitimate interest for this processing consists in promoting our Services in a measured and appropriate way.

(c) to personalize our ads;
The legitimate interest for this processing consists in promoting our Services in a reasonably targeted way.

(d) to ensure compliance with the Services provision and to prevent and combat fraud.
Our legitimate interest consists in enforcing our legal rights, preventing and addressing fraud.

(iii) to comply with legal obligations.

 

6. Whom we share your Personal Data with

We share certain Personal Data with lectors, other participants, companies performing services for us, our affiliates, our partners, analytics and data enrichment providers, companies helping us run marketing campaigns and surveys, and advertising companies who help us promote our Services. We may also share your Personal Data with third parties as needed for security or legal compliance. Lastly, we can share the Personal Data in other ways if it is aggregated or de-identified or if we get your consent.

We may share your Personal Data with third parties under the following circumstances or as otherwise described in this Privacy Policy:

  1. with lectors;
    We share certain Personal Data with lectors of the Events you register for or request information about, so they can improve their content for you and other participants. This data may include information you provided when registered for the Event.
  2. with other participants and lectors;
    Some Personal Data, such as Telegram ID and communication with lecturers and participants in communication channels, may be publicly viewable, including by other participants and lecturers. If you ask a lecturer or other person a question, your Personal Data (including your name) may also be available for public viewing.Please note that chat rooms, newsgroups, or other public forums used for communication before or during the Event are open to other participants, so you should not post confidential or private information.
  3. with service providers, contractors, and agents;
    We share your Personal Data with third-party companies who perform certain services on our behalf, like payment processing, data analysis, marketing, and advertising services (including retargeted advertising), email and hosting services, and customer services and support. These service providers may access your Personal Data and are required to use it solely as we direct to provide our requested service.
  4. with our affiliates;
    We may share your Personal Data with other legal entities which are part of the Roosh tech ecosystem to ensure the provision of the Services.
  5. with partners;
    We may share your Personal Data with our official partners with whom we organize the Events.
  6. with analytics and data enrichment services;
    As part of our use of third-party analytics tools like Google Analytics and Meta Pixel, we share certain contact information.
  7. with law enforcement agencies and other public authorities;
    We may use and disclose the Personal Data to ensure your access to the Events, protect our rights, privacy, safety, or property, and/or that of our affiliates, you or others, and to respond to requests from courts, law enforcement agencies, regulatory agencies, and other public and government authorities, or in other cases provided for by law.
  8. with professional advisors;
    We may disclose your Personal Data to professional advisors, such as lawyers, bankers, auditors, and insurers, where necessary in the course of the services that they render to us.

8. Security

We take appropriate security measures to protect against unauthorized access, alteration, disclosure, or destruction of the Personal Data that we collect and store. These measures vary based on the type and sensitivity of the data. Unfortunately, however, no system can be 100% secured. Due to this, we cannot guarantee that communications between you and the Services or any Personal Data provided to us during the use of the Services will be free from unauthorized access by third parties. 

 

9. How you can exercise your Personal Data rights

  • 8.1. You have the following rights regarding your Personal Data:

    (i) accessing / reviewing / updating / correcting your Personal Data.
    You have the right to review, edit, or change the Personal Data that you had previously provided to us. If you would like to receive a copy of the data we process, please send us a data access request.

    (ii) delete;
    You may also ask us to delete your Personal Data, and we will honour your request to the extent possible. In some instances, we may be legally required to keep your Personal Data.

    (iii) restrict;
    You may ask to stop or limit the processing of all or part of your Personal Data.

    Additional information for EEA-based users. If you are based in the EEA, you have the following rights in addition to the above:

    (a) the right to submit a complaint to supervisory authority;

    (b) We encourage you to contact us directly, so we could address all your concerns. Nevertheless, you have the right to submit a complaint to a competent data protection supervisory authority, in particular in the EU Member State where you reside, work, or where the alleged infringement has taken place.

    (c) the right to data portability.
    If you wish to receive your personal data in a machine-readable format, you can do so by requesting a copy of your personal data as described above. The data will be made available to you in the .json file or other file formats.

    (iv) opt-out;
    You may ask us to stop sending you direct marketing communications. We may continue to send emails that relate to the Services provision and are not marketing-related.

    (v) object.
    Object to our reliance on our legitimate interests as the basis of our processing of your Personal Data.

  • 8.2. If you are a citizen of Ukraine, you have the following rights:

    (i) know about sources of collection, the location of your Personal Data, the purpose of its processing, location or place of residence (staying) of the controller or the processor of the Personal Data or to authorize other persons to obtain such information, except for cases established by law;

    (ii) obtain the information concerning the conditions of access to the Personal Data, in particular, information about third parties receiving your Personal Data;

    (iii) access your Personal Data;

    (iv) receive a response with regard to whether your Personal Data is being processed as well as to receive the content of such Personal Data no later than within thirty (30) days from the moment of the request receipt, except for cases established by law;

    (v) submit a motivated demand on objecting against your Personal Data processing;

    (vi) submit a motivated request regarding change or destruction of your Personal Data by us and any third party processing your Personal Data on our behalf if such personal data is processed illegally or is inaccurate;

    (vii) protection of your Personal Data from illegal processing and accidental loss, destruction, or damage due to a deliberate concealing, failure to provide or provision with delay, as well as to protection from provision of information which is inaccurate or disgraces your honor, dignity, and business reputation;

    (viii) file complaints regarding the processing of your Personal Data to the Ukrainian Parliament Commissioner for Human Rights or directly to a court;

    (ix) apply remedies in case of violation of the legislation on personal data protection;

    (x) when granting his/her consent, make reservations to restrict the right to process your Personal Data;

    (xi) withdraw your consent to processing your Personal Data;

    (xii) know the procedure for the automatic processing of your Personal Data; and

    (xiii) be protected against an automated decision having legal implications for you.

    You can exercise the above-mentioned rights and submit your requests by sending an email to us at the address indicated in clause 13. We may request specific information from you to help us confirm your identity and process your request. Applicable law may require or permit us to decline your request. If we decline your request, we will tell you why, subject to legal restrictions.

9. International data transfers

We may transfer the Personal Data to countries other than the country in which the data was originally collected in order to provide the Services and for purposes indicated in this Privacy Policy. If these countries do not have the same data protection laws as the country in which you initially provided the information, we deploy special safeguards.

 

10. Changes to this Privacy Policy

We may amend and modify our Privacy Policy from time to time. If our Privacy Policy or processing procedures change, we will immediately post those changes to our website. We will also notify you through email so you will have the opportunity to review and revise the Privacy Policy. By continuing to access or use the Services after those changes become effective, you agree to be bound by the revised Privacy Policy. In case of significant changes to this Privacy Policy, we will notify you by email so that you have the opportunity to review the updated Privacy Policy.

We will retain your personal data for as long as it is reasonably necessary for achieving the purposes specified in this Privacy Policy, which includes but is not limited to the period during which you are using the Services. We will also retain and use your Personal Data as necessary to comply with our legal obligations.
